Planning, coordinating, and delivering meetings and events end-to-end, acting as the main client contact while ensuring seamless execution, quality standards, and financial accuracy.
Purpose
The Meeting & Events Specialist supports the strategic plans and objectives of the Meetings & Events department. This role is designed to be supportive, hands-on, methodical, and business-oriented, aimed at creating unforgettable experiences for our guests. The role assumes responsibility for assigned tasks while working closely with direct colleagues and other departments to achieve excellent results. The incumbent serves as a brand ambassador, reflecting the company's culture and values. All responsibilities are carried out in compliance with company policies, procedures, service concepts, and local requirements and regulations.
Responsibilities
Manage the planning, coordination and delivery of meetings, conferences, and events end-to-end, from initial inquiry to post-event follow-up.
Main client contact, advising on event concepts, logistics, catering, and technical requirements.
Prepare function sheets (BEOs), coordinate internal hotel departments, and supervised on-site event operations.
Manage offers, contracts, budgets, and billing, ensuring accuracy and alignment with hotel standards.
Conduct site inspections: act as the first point of contact, presenting meeting and sleeping rooms, answering client questions, advising on event possibilities, and proposing tailored solutions to their events.
Achievements
Oversaw client management, budgeting, and invoicing for events with volumes and invoices of up to €150,000.
Managed multiple large-scale events simultaneously, maintaining calmness, structure, and professionalism under pressure.
Maintained high-level professional communication with clients in German, English, and Spanish, contributing to client satisfaction and repeat bookings.
